Property Management System (PMS)

Property Management System is designed for automation and optimization of the basic business-processes of a hotel:

Point Of Sale Management (POS)

POS-system is designed for automation of restaurants, restaurant chains, points of sales in hotels and hotel complexes with service of any kind: classical restaurant, bar, fast food, take-out service and room service. The system of POS-terminals automates workstations of waiters, barmen, managers and co-operates with property management system (PMS).
The module «Menu management» allows to create consolidated catalogue of dishes, drinks and services that are realized in various points of sales at different prices. Changes in menu are made without stop of system and changed data is immediately transmitted to the terminals of users.       

POS-system stores the information about all codes of services, goods and dishes, sold in all points of sales during the day, and this information is transferred to property management system. Also the information about dishes goes to bookkeeping system where the cost price of them is accounted and their components are written-off from a warehouse.

SPA- and medical services accounting

The subsystem of medical services accounting consolidates the data and allows to keep account on rendered medical services, to form automatically the necessary documentation for doctors work registration – medical recommendations, doctor-ordered medicine and procedures, timetables and schedules of patients’ visits.

Russian accounting principles (bookkeeping)
The module “Russian accounting principles” (bookkeeping) unites all financial accounts of the company.  It provides double entry system according to the common requirements on bookkeeping in Russian Federation. The module gives overall information about financial situation in company.


Finance management (cash management)
The module “Finance management” allows to keep financial account, to plan and analyze cash flow, to prevent cash deficiency, to plan payments according their priority.


Sales and clients
The module "Sales and Clients" includes flexible functionality for managing sales, it allows to make clients classification, accounts analyzing, putting on advance payment, individual discounts, and also detailed reporting and statistics on sales.


Purchases and suppliers
The module "Purchases and Suppliers" contains exhaustive functionality for managing accounts payable by means of suppliers’ classification. It is possible to offer type of payment automatically, to create orders of purchase and extra-purchase of goods, to manage unexecuted orders etc.


Tax accounting
The module "Tax accounting" is organized on a basis of "System of tax accounting”, recommended by the Ministry of Taxes and Tax Collection of Russian Federation for profit calculation according to 25 article of Tax Code of Russian Federation. The functionality of this module ensures adjustment and formation of tax registers.


Fixed assets accounting (permanent assets)
The module "Fixed assets accounting" is designed for registration and management of company’s fixed assets, and also for calculating depreciation expenses.


Salary and personnel
The module "Salary and personnel" allows to keep personified account according to Russian Federation laws.

Accounting according to international financial reporting standards (IFRS), GAAP
This module gives the possibility to make consolidated reports according to international standards of financial reporting (IFRS), GAAP.


The reporting according to USALI standards
USALI reporting (Uniform System Account For Lodging Industry) allows to analyze activity of a hotel according to the standards, accepted in the hospitality industry all over the world. This module allows to make proper management decisions, to give reporting for banks and investors, to see financial result of every hotel department and, as consequence, to raise investment prospects of business.


Budgeting
The solution WestConcept|Hotel&SPA allows to create any quantity of budgets and to control their performance. While you input data in budget some analytical measurements can be used, which allow to form many-sided and detailed budget for departments and income and expenditure items. The matrix form of budgets, which can be easily modified by user,  guarantees perfect presentation of information.


Indebtedness management
The solution WestConcept|Hotel&SPA has complete functionality for making liquidity analysis, payments control and cash flow forecast. The system allows to control account receivable and account payable in real-time and to make analyses of back payments.

ADMINISTRATING ACCOUNTING

Warehouse management
The module "Warehouse management" gives company necessary functionality for organizing the processes of goods receipt  and shipment, entering  goods to warehouse, selection of goods for shipment or transfer goods for production. This module allows to control movement and location of fixed assets, goods, materials, products and drinks in a hotel.


Production-catering
The module "Production-catering" is intended for calculation and writing off the cost price of dishes on the basis of their recipes. This simple and convenient means allows to save time and working hours, and also excludes the possibility of re-sorting, as the module contains the recipes of dishes, which components can be replaceable.


Purchase planning (Inventory management)
The functionality of this module allows to plan restaurants requirements for products, to calculate the preliminary cost price of banquets in advance, and also to form warehouse requests and demands for a purchasing department.

Event-management

Event management module:

  • Displays a calendar of conference premises loading with possibility of getting detailed information about every event;
  • Contains the overall information about events with connection to sales, clients accounts, group reservations, travel agents and debtors accounts;
  • Keeps time account on events, taking into consideration requirements for premise preparation and its following cleaning;
  • Allows to customize manual or automatic cost of services charges on clients’ accounts.

Maintenence service

By means of this module it is possible to manage maintenance service in a hotel, to trace incidents and to control problem solving in hotel rooms.
Rooms can be "blocked” and "deblocked" in real-time, according to their status. This module contains appropriate reports and schedules.

Housekeeping

This module gives the possibility to manage hotel rooms, to record and store information about activities made with this or that room.
The functionality allows to save records about activities of every parlormaid, which has the certain number of rooms, to form reports on their work, to view every room history.

Peripheral systems

The system can be integrated and connected to a great number of the devices presented on the market, for example, to systems Bank-client, Pay-TV, systems of telephone and Internet tariffing, security systems and access control systems. In the same way the solution can be integrated with any system, belonging to hotel or hotel chain.
